B-TECH - BOURKELIS VAS. IOANNIS ("we", "us", "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, store, and protect your personal data when you use our website dentist.gr and our software products.

DATA WE COLLECT

We collect the following types of personal data:

  • Account Information: Name, email address, and password when you create an account.
  • Contact Information: Name, email, phone number when you submit contact or presentation requests.
  • Purchase Information: Billing address, payment details (processed securely via VIVA Bank).
  • Technical Data: IP address, browser type, and device information for security and analytics.
  • Usage Data: Pages visited, features used, and interaction with our website.
  • Google Calendar Data (Dent-O-Soft, optional): Appointment events exchanged between Dent-O-Soft and your Google Calendar when you enable synchronisation. See the Google Calendar Synchronisation section below.

HOW WE USE YOUR DATA

We use your personal data for the following purposes:

  • To provide and maintain our services and software products.
  • To process your orders and deliver purchased products.
  • To respond to your inquiries and support requests.
  • To schedule and conduct product presentations.
  • To send important updates about your account or purchases.
  • To improve our website and services based on usage patterns.
  • To comply with legal obligations.

LEGAL BASIS FOR PROCESSING

We process your personal data based on:

  • Consent: When you submit a contact form or request a presentation.
  • Contract: When necessary to fulfill our contractual obligations (e.g., delivering purchased software).
  • Legitimate Interest: For security, fraud prevention, and service improvement.
  • Legal Obligation: When required by law (e.g., tax records).

DATA RETENTION

We retain your personal data for as long as necessary to fulfill the purposes outlined in this policy:

  • Account data: Until you request deletion or close your account.
  • Contact requests: Up to 2 years after the last interaction.
  • Purchase records: As required by Greek tax law (typically 5-10 years).
  • Technical logs: Up to 12 months for security purposes.

ACCOUNT DELETION

When you request deletion of your account:

  • Your account will be deactivated immediately and you will no longer be able to log in.
  • Your email address will be released, allowing you to create a new account with the same email in the future if you wish.
  • Personal data not required for legal compliance (profile information, contact requests) will be anonymized or deleted.
  • Purchase records, invoices, and billing information will be retained as required by Greek tax legislation (螝蠋未喂魏伪蟼 桅慰蟻慰位慰纬喂魏萎蟼 螖喂伪未喂魏伪蟽委伪蟼 - 螝桅螖, Article 13), which mandates retention of commercial and tax documents for a minimum period. This is a legal obligation we cannot override.
  • License records associated with your purchases will be retained for support and audit purposes.

This approach ensures legal compliance while respecting your right to discontinue using our services.

DATA SHARING

We do not sell, trade, or rent your personal data. We may share data only with:

  • Payment processors: VIVA Bank for secure payment processing.
  • Legal authorities: When required by law or court order.
  • Google: When you enable Google Calendar synchronisation in Dent-O-Soft, appointment events are sent from your computer to your own Google Account. See the Google Calendar Synchronisation section below.

GOOGLE CALENDAR SYNCHRONISATION (DENT-O-SOFT)

Dent-O-Soft can optionally synchronise your appointments with your Google Calendar, so that your schedule is available on your phone and other devices. The feature is off until you enable it in the application settings and sign in with your Google Account through the consent screen of Google.

  • What we access: Dent-O-Soft requests the Google Calendar permission to see, edit, share and permanently delete all the calendars you can access (OAuth scope https://www.googleapis.com/auth/calendar). This is the permission Google provides for applications that list your calendars and read and write events. The application uses it only to list your calendars so that you can choose one, and to read, create, update and delete appointment events on the calendar you selected. It does not create or delete calendars, does not change sharing settings, and does not access your contacts, email or any other Google data.
  • What we use it for: Solely to provide the appointment synchronisation feature you enabled. Each event written to Google Calendar contains the date and time of the appointment and the appointment notes as entered in Dent-O-Soft, which may include the name of the patient. Changes you make to those events in Google Calendar are read back into the appointment book.
  • Where data is stored: Synchronisation takes place directly between the computer or practice server running Dent-O-Soft and Google. The Google access credentials (refresh token) are stored only in the Dent-O-Soft database on that computer or server and are shown masked in the application settings. B-TECH operates no server in this process and does not receive, store or have access to your Google Calendar data, your Google credentials or your appointments.
  • Sharing: Google Calendar data is not shared with, sold to or transferred to any third party. It is not used for advertising, is not read by B-TECH staff, and is not used to develop, improve or train artificial intelligence or machine learning models.
  • Retention and deletion: Events created by Dent-O-Soft remain in your Google Calendar under your control and can be deleted there at any time. You can stop synchronisation and remove the stored Google credentials at any time from the Dent-O-Soft settings, and you can revoke the access of Dent-O-Soft from your Google Account at myaccount.google.com/permissions, which immediately invalidates the stored credentials.
  • Your responsibility as a practice: The content you choose to synchronise, such as patient names in appointment notes, is stored in your Google Account under the terms of service and privacy policy of Google. As the data controller for the data of your patients, you decide what to include in appointment notes and you are responsible for using a Google account that is appropriate for that purpose.

The use and transfer by Dent-O-Soft of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Under GDPR, you have the following rights:

  • Right to Access: Request a copy of your personal data.
  • Right to Rectification: Request correction of inaccurate data.
  • Right to Erasure: Request deletion of your data ("right to be forgotten").
  • Right to Restrict Processing: Request limitation of how we use your data.
  • Right to Data Portability: Receive your data in a structured format.
  • Right to Object: Object to processing based on legitimate interests.
  • Right to Withdraw Consent: Withdraw consent at any time.
